Privacy Policy

This privacy policy explains how Virexon handles personal data when you visit virexon.club, use the Virexon Troubleshooting Wizard, join our Discord community or play on the Virexon ARK: Survival Ascended PvE cluster. We keep it as short as a complete policy allows and we collect as little as we can: this website has no advertising, no analytics and no tracking cookies.

1. Who we are

Virexon is a non-commercial community project run from the Netherlands. The controller responsible for the processing of personal data described in this policy is Robert Roos, operator of Virexon.

Contact for all privacy questions and requests: leave a message for the admin team in our Discord server, for example by opening a support ticket or sending a direct message to one of the admins. Please do not post personal details in public channels; an admin will continue the conversation with you privately.

Virexon is not affiliated with Studio Wildcard, Snail Games or Discord. ARK: Survival Ascended is a trademark of its respective owners.

2. Summary

  • Visiting this website: our host and security services process your IP address and basic browser information to deliver the page and protect the site. We do not build visitor profiles.
  • No tracking cookies: we measure visits with cookie-free statistics that stay on our own server (see section 3.4). No Google Analytics, no advertising networks, no social media pixels and no fonts or scripts loaded from Google.
  • Cookies: only strictly necessary cookies (see section 6). No cookie banner is needed because we do not use cookies that require consent.
  • Playing on our servers: the game servers process your in-game and platform identifiers, connection data and in-game activity so the cluster can work and stay fair and safe.
  • Discord and the shop are operated by third parties under their own privacy policies.
  • You have rights under the GDPR, including access, correction and deletion. See section 11.

3. Visiting virexon.club

3.1 Server and access logs

When you open a page, your browser sends technical information to the server that hosts the website. This includes your IP address, the date and time of the request, the page requested, the referring page, the HTTP status code, the amount of data transferred and your browser’s user agent (browser type, version and operating system). This information is recorded in server logs.

Purpose: delivering the website, keeping it available and fast, detecting and fixing errors, and investigating abuse or attacks.
Legal basis: our legitimate interest in operating a secure and reliable website (Article 6(1)(f) GDPR).
Retention: log files are kept for a limited period by our hosting provider and then deleted or rotated automatically. We do not combine them with other data to identify individual visitors.

3.2 Security and protection against abuse

We use the Wordfence security plugin (by Defiant, Inc.) and the security services of our hosting provider to protect the site against hacking attempts, password guessing, spam and malicious traffic. To do this, these services analyse incoming requests, including IP addresses, requested URLs, user agents and, for login attempts, the username that was entered. Suspicious IP addresses can be temporarily blocked, for example after repeated failed login attempts. Wordfence may exchange IP addresses involved in attacks with the Wordfence threat intelligence network, so that known malicious addresses can be blocked on other websites as well.

Purpose: keeping the website, its administrators and its visitors safe.
Legal basis: legitimate interest in information security (Article 6(1)(f) GDPR; see also recital 49 GDPR).
Retention: security logs and block lists are kept only as long as needed for this purpose and are cleared automatically on a rolling basis. Temporary blocks expire automatically.

3.3 Content delivery network

Our hosting provider delivers the website through a content delivery and security network (Cloudflare) that caches pages close to you and filters malicious traffic. For this, your IP address and request data pass through that network. The same purpose, legal basis and retention as in section 3.1 apply.

3.4 Cookie-free visitor statistics

To understand how many people visit the website, where they come from (for example Discord or a search engine) and which buttons they use, we use Independent Analytics. It works without cookies and without fingerprinting, does not track you across websites, and stores the statistics on our own website instead of sending them to a third party. Your IP address is only used in anonymised form to count unique visits and is not stored in full. We also use Google Search Console (through the Site Kit plugin) to see how the website performs in Google search results; this uses aggregated search data from Google and does not place anything in your browser.

Purpose: improving the website and our community outreach.
Legal basis: our legitimate interest in understanding, in aggregate, how the website is used (Article 6(1)(f) GDPR).
Retention: statistics are kept in aggregated form; no visitor profiles are built.

3.5 No advertising or external fonts

We do not use advertising, remarketing or social media tracking on this website. Fonts and icons are hosted on our own server, so your browser does not contact Google Fonts or other font services. The “Copy invite” button only copies the Discord link to your own clipboard; nothing is sent to us.

4. Virexon Troubleshooting Wizard

The Troubleshooting Wizard at diag.virexon.club is operated by Virexon. It only loads when you click “Launch Troubleshooting Wizard” or open it in a new tab. When it loads, your browser connects to that server, which processes the same technical connection data as described in section 3.1, plus any answers or details you choose to enter to diagnose your problem.

Purpose: helping you solve connection, crash, mod and transfer problems.
Legal basis: providing the support you ask for (Article 6(1)(b) GDPR) and our legitimate interest in running a well-functioning community (Article 6(1)(f) GDPR).
Retention: diagnostic information is kept only as long as needed to help you and to improve the wizard, and is not used for any other purpose. Please do not enter passwords or payment details in the wizard.

5. Playing on the Virexon cluster

When you connect to one of our ARK: Survival Ascended game servers, the server software processes the data needed to let you play and to keep the cluster fair and stable. This may include:

  • your in-game survivor name, tribe name and platform account identifiers (for example your Epic Online Services, Steam, Xbox or PlayStation ID) as supplied by the game;
  • connection data such as your IP address and the times you join and leave a server;
  • in-game data such as your character, dinos, structures, items, cluster transfers and in-game currency balances;
  • in-game chat and logs of admin actions, rule enforcement and support;
  • information linked to events, competitions, giveaways and trades you take part in.

Purpose: running the game servers and cluster travel, saving your progress, making backups, preventing cheating, griefing and abuse, enforcing our rules, handling support requests and organising events.
Legal basis: providing the service you choose to use (Article 6(1)(b) GDPR) and our legitimate interest in a safe, fair and stable community (Article 6(1)(f) GDPR).
Retention: game data is kept for as long as it is part of the cluster. Because Virexon is a long-term cluster with no progress wipes, this can be a long time (the daily map wipe only removes wild dinos, nests and similar clutter, never player data); you can ask us to remove your data (see section 11). Backups are kept on a rolling basis and older backups are deleted automatically. Server and admin logs are kept for a limited period for troubleshooting and moderation. If you are banned for serious rule violations, we keep the minimum data needed to enforce the ban.

6. Cookies and similar technologies

Visitors of virexon.club do not receive tracking or marketing cookies. The following strictly necessary cookies may be used; under the EU ePrivacy rules and the Dutch Telecommunications Act they do not require consent:

  • Security and bot protection cookies that our hosting and security network may set to tell real visitors apart from automated attacks (for example Cloudflare’s __cf_bm, which expires after about 30 minutes).
  • WordPress and Wordfence login cookies (such as wordpress_logged_in_*, wordpress_sec_*, wp-settings-* and wfwaf-authcookie-*). These are only set for site administrators who log in to manage the website.

You can block or delete cookies in your browser settings. The public pages of this website keep working without cookies.

7. Discord, the shop and other external services

This website links to services that are not operated by us. When you follow such a link you leave virexon.club, and the privacy policy of that service applies.

  • Discord (Discord Inc.): our community, announcements, rules, server information and support tickets live in our Discord server. Discord processes your account data under its own privacy policy. As server administrators we can see what you share in our server, such as your username, messages, reactions and tickets, and we use this only to run the community, give support and enforce our rules. Our automated maintenance and status notifications are posted in Discord; they do not contain personal data about players. To show the current number of community members on this website, our server asks Discord for the public member count of our invite about once an hour. No information about website visitors is sent to Discord for this.
  • Shop: optional purchases are handled by Tip4Serv on its own platform. Payment details are processed by Tip4Serv and its payment providers; we do not receive your card or bank details. We receive the information needed to deliver your purchase in-game, such as your in-game or platform identifier and the item purchased.
  • ARK: Survival Ascended and gaming platforms: the game itself and your platform account (Epic, Steam, Xbox, PlayStation) are provided by their publishers under their own terms and privacy policies.

8. Who receives your data (processors)

We never sell personal data and we do not share it for advertising. We only use service providers that we need to run Virexon, and only for the purposes in this policy:

  • WP Engine, Inc.: website hosting and page caching;
  • Cloudflare, Inc. (through our hosting provider): content delivery and protection against attacks;
  • Defiant, Inc. (Wordfence): website security and threat intelligence;
  • professional server and storage providers, currently including OVHcloud: hosting of the game servers and encrypted backups;
  • authorities, if we are legally required to disclose data, or where necessary to protect the rights and safety of our players and ourselves.

9. Transfers outside the European Economic Area

Some of the providers listed above are based in the United States or may process data outside the European Economic Area. Where this happens, the transfer is protected by an adequacy decision of the European Commission (such as the EU-U.S. Data Privacy Framework, for providers that are certified under it) or by the European Commission’s Standard Contractual Clauses, together with additional safeguards where needed.

10. How we protect your data

We use encrypted connections (HTTPS) for the whole website, a web application firewall, protection against password guessing with automatic lockouts, strong-password enforcement and two-factor authentication for administrators, security headers, automatic security updates, and the principle of least privilege on our servers. Access to server data and logs is limited to the Virexon administrators who need it for their tasks. No system is perfectly secure, but if a data breach occurs that puts your rights at risk, we will act in line with the GDPR, including notifying the Dutch Data Protection Authority and you where required.

11. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you and receive a copy;
  • rectify data that is incorrect or incomplete;
  • erase your data (“right to be forgotten”), for example your in-game data after you stop playing, unless we still need it for a legal obligation or to enforce a ban;
  • restrict processing in certain situations;
  • object to processing based on our legitimate interests;
  • data portability for data you provided to us under a contract;
  • lodge a complaint with a supervisory authority. In the Netherlands this is the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl). You can also contact the authority in the EU country where you live.

To exercise your rights, leave a message for the admin team in our Discord server (open a support ticket or send a direct message to an admin) and include your in-game name and platform ID, so we can find your data. We may ask for additional information to confirm your identity. We answer within one month; if a request is complex we may extend this by up to two more months and will tell you why.

12. Children

Virexon is intended for players who meet the age requirements of ARK: Survival Ascended, their gaming platform and Discord. In the Netherlands, children under 16 need permission from a parent or guardian before their personal data may be processed on the basis of consent. We do not knowingly collect more data from children than the game and our servers require to function. If you are a parent or guardian and believe your child has shared personal data with us, please contact us and we will help remove it.

13. Automated decision-making

We do not use profiling or automated decision-making that has legal or similarly significant effects on you. Automatic security measures, such as a temporary block after repeated failed login attempts on the website, can be lifted on request.

14. Changes to this policy

We may update this policy when our services or the law change. The date at the top of this page shows when it was last updated. Significant changes will also be announced in our Discord server.
